Frequently Asked Questions - Unit Registrations

I have a Scout who can’t attend and another who can.  How do I swap these Scouts?

To do this go to your unit registration and click on the Scout you want to drop.  Under you can you will see the ability to replace the Scout.  Please follow this process.

What happens to money we have paid if a Scout is deleted?

With the exception of campership monies, the funds get deposited in a Contingent Account.  The contingent account is kind of a "holding account" for your unit and this event.  If you have future payments that need to be made for your unit for this event you may withdraw them from the contingent account (this appears as an option on the payment page).  After the event, remaining contingent account funds will be credited to your unit account. Contingent Account Balances are shown on the Contingent Summary Page accessed through the Unit Website registration.

Campership monies are not credited to a contingent account.  Camperships are granted to an individual and not a unit.  It is inappropriate for a unit t receive the benefit of a campership if the Scout is not attending the event for which the campership was granted.  Camperships are returned to the Council or organization that endowed the campership.

What is a Contingent Account?

The contingent account is kind of a "holding account" for excess funds for a particular unit and event. They normally are created when an individual has been deleted from an event creating a credit.  These credits are deposited in the contingent account.  If you have future payments that need to be made for your unit for this event you may withdraw them from the contingent account (this appears as an option on the payment page). After the event, remaining contingent account funds will be credited to your unit account.

What is the difference between a Unit Account and a Contingent Account?

Unit Accounts are created for each unit by the councils accounting department.  They hold deposits made by units to pay for future council expenses as well as any overpayments or refunds from the council.  Periodic balance reports are provided to the units.

Contingent Accounts are created on Unit Event Registrations when a credit situation occurs due to the cancelation of an individual, a change in an individual's registration (for example: adding a second week discount for summer camp) or an overpayment.  These funds can be used to offset subsequent payments.

We have a Unit Reservation.  How do I sign up Scouts if their parents want to pay separately?

The accepted practice is to have a single payor for the unit but we realize that some units can not operate this way.  Unfortunately, there is not a clear cut way within the system to accomplish this.  Please contact the Council office and we will make every attempt to accommodate you.

I cannot access update the unit registration.  Can you fix that?

Unit registration access is limited to the Unit Leader (or their website proxy) and the individual who set up the registration on behalf of the unit.  To get an additional individual access the registered Unit Leader should send an e-mail to webmaster@trcbsa.org.

What do I do if I have saved my registration to the shopping cart but I have more Scouts to add?

You have two options to accomplish this:

  1. Pay for the registration “as is” then go to the unit website registration section, reopen the registration and add more Scouts.  This will require a second payment.
  2. Delete the existing reservation (or reservation changes) by going to the shopping cart, clicking the box next to the registration and pressing “Update Cart”.  This will delete the registration or reservation changes.  Please note:  This will only delete the transactions you are currently making and if this is a reservation change this will not delete your initial reservation.  After deleting the reservation (or reservation changes) you must go to the unit website registration section, reopen the registration and select all the Scouts including those on the deleted reservation.
